Your account
You must provide accurate account information, use an individual login, protect your password and MFA methods, and tell us promptly if you suspect unauthorized access. You are responsible for activity completed through your account unless applicable law says otherwise.
Authorized use
Caseload is intended for occupational therapy professionals and authorized team members. You may use it only for lawful professional purposes and only with information you are permitted to handle. Do not test the service with real student information before your organization has approved that use.
Your professional responsibility
Caseload supports service planning, scheduling, documentation, supervision, and reporting. It does not replace clinical judgment, licensure duties, district records, an IEP system, emergency services, or requirements imposed by your employer or governing body. You remain responsible for reviewing records and making professional decisions.
Your content
You retain rights in the information you submit. You grant OT Bestie the limited permission needed to host, process, secure, back up, and return that information while providing the service. You must not submit content that is unlawful, malicious, or outside your authority.
School and district records
If a school, district, or authorized provider uses the service for education records, the customer directs and controls OT Bestie LLC's use and maintenance of those records for the approved school-based OT functions. OT Bestie uses the records only to provide and secure the service, does not sell them or use them for advertising, and does not redisclose them except to an approved service provider under applicable restrictions, as the customer authorizes, or as law requires. The customer determines authorized users and legitimate educational interests. OT Bestie will support customer-directed access, amendment, incident response, return, and deletion. These terms do not replace approval from a school or district that has not authorized the service, and the person activating the workspace represents that they have authority to do so.
Plans and billing
Accounts may begin with a trial. Before a paid plan starts, we will show the applicable price, included seats, billing period, and cancellation terms. Taxes may apply. Plan changes do not remove your ability to export supported records.
Acceptable use
Do not bypass access controls, probe the service without written permission, introduce harmful code, scrape the product, interfere with another workspace, share accounts, or use the service to violate another person’s rights.
Availability and changes
We may update the service to improve reliability, security, or functionality. We may suspend access when necessary to protect users or the service, address nonpayment, or respond to unlawful use. We will provide reasonable notice when circumstances allow.
Disclaimers and limits
The service is provided subject to applicable law and any signed customer agreement. To the extent permitted by law, OT Bestie is not responsible for indirect or consequential losses, clinical decisions, or failures caused by systems and services outside its control. A signed customer agreement controls if it conflicts with these online terms.
